Crelate + Microsoft Teams Integration

Create Microsoft Teams meetings from calendar activities in Crelate. Ask Support to turn on the integration, then check the Teams box when you create the activity.

Written by Chelsie Pettit

The Microsoft Teams integration creates a Teams meeting link when you send a calendar invite from an activity in Crelate. The meeting is added to your Microsoft 365 calendar, and attendees receive the Teams link in the invite. Teams must be turned on for your organization first, and you can create Teams meetings only in the Crelate web app.

What do I need before I use the Teams integration?

  • Teams turned on for your organization. Support does this for you.

  • A Microsoft 365 email connection. It must have Teams access and be set as your default email connection.

  • A calendar activity type. An admin can set an activity type’s Activity Mode to Calendar Activity in Settings > Activities.

Only the person who creates the meeting needs Microsoft 365. Attendees join with the public Teams link.

How do I turn on the Teams integration?

Ask Support to turn on the Microsoft Teams integration for your organization. The fastest way is to start a chat and ask for a person. You can also email support@crelate.com. Include your organization name and the Microsoft 365 email address you use with Crelate.

💡 Pro Tip: Teams is turned on for the whole organization, so one request from an admin covers everyone. Each person still needs their own Microsoft 365 email connection set as their default.

How do I know if Teams is turned on for my organization?

Start creating a calendar activity, using the steps below. If you see the checkbox Make this a Teams meeting, Teams is on. If you do not see it, go to “Why do I not see Make this a Teams meeting?”

How do I create a Teams meeting?

  1. Open a Contact Record in the Crelate web app, or open a Job and select a candidate tile on the Job dashboard.

  2. Find the row of activity icons:

    • On a Contact Record: the row is on the Summary tab, near the top.

    • On a Job dashboard: the row is in the panel on the right, under the Activity tab. It appears after you select a candidate tile.

  3. Select the icon for a calendar activity type, such as an interview.

  4. In the activity window, check Make this a Teams meeting.

  5. Add your attendees, and then select Save and Send.

Crelate creates the Teams link, includes it in the invite, and adds the event to your Microsoft 365 calendar.

💡 Pro Tip: If you do not see the activity you want in the row, select the drop-down arrow at the end of the row. Activity types that do not fit on the page appear there, on both Contact Records and Job dashboards.

💡 Pro Tip: You cannot turn an existing activity into a Teams meeting later. Check the box when you create the activity, before you send it.

Why do I not see “Make this a Teams meeting”?

Check these in order:

  1. You opened an activity type that is not a calendar activity. Only activity types with the Activity Mode set to Calendar Activity send invites and show the Teams option. Check the drop-down at the end of the icon row for the right type. An admin can check the Activity Mode in Settings > Activities.

  2. Teams is not turned on. Start a chat and ask Support to turn it on.

  3. Your default email connection is not Microsoft 365. Connect a Microsoft 365 account and set it as your default. The From line in the activity window shows the connection the invite uses. It should be your Microsoft 365 email.

  4. Your Microsoft account does not include Teams. Check your Microsoft licensing.

  5. You are in the mobile app. Teams meetings can be created only in the web app.

How do I change an activity type to a calendar activity?

An admin can change this in Settings > Activities. Select the activity, and then change its Activity Mode to Calendar Activity.

Can I create Teams meetings in the mobile app?

No. Teams meetings can be created only in the Crelate web app at this time.

Do attendees need Microsoft 365?

No. Only the person who creates the meeting needs a Microsoft 365 account with Teams access. Attendees join with the public Teams link.

Can I turn an existing activity into a Teams meeting?

Not currently. Choose the Teams option when you create the activity.

Key takeaway

The Teams integration creates a Teams meeting link when you send a calendar invite from an activity. Support turns it on for your organization, and you need a default Microsoft 365 email connection with Teams access. Create the meeting from a calendar activity on a Contact Record or a Job dashboard in the web app, and check Make this a Teams meeting before you select Save and Send. If you do not see the checkbox, check the activity type’s Activity Mode in Settings > Activities, whether Teams is turned on, your email connection, and your Microsoft licensing.
