Create an eSignature Template
To create an eSignature template, navigate to Settings | E-Signature Templates
Creating templates for frequently used forms allows you to quickly select a pre-configured document and send eSignature requests whenever needed.
Within the template setup, you can upload your document(s), enter a Template Name, add a Description, configure the required Signing Roles, enforce a signing order, add CC Recipients, and customize the message included with the eSignature request.
To create a package containing multiple documents that require signatures, simply select or drag and drop the documents you would like to include.
You can also add multiple documents to a single eSignature template, making it easier to include everything your signers need in one signing packet. You can add up to 20 documents, with a combined file size limit of 10 MB.
After uploading your initial documents, select the + icon in the document preview to add additional documents.
If you need to update the document in your template or switch to a different document, you can replace the existing document while keeping the fields already added. This lets you update your document without recreating your fields from scratch.
To replace a document, select the three-dot menu within the document preview panel, then select Replace. A confirmation window will appear, letting you know that it will save any changes to the current document before you upload the new one.

After entering your template details and uploading your document, you can configure where signatures, dates, and other fields should appear on the document. For document packages, scroll through each document within the template editor to add the required fields to each file.
Note: We have also introduced several enhancements to make creating and completing eSignature requests even easier. You can now add Placeholder Text to fields before sending a request, use Auto-fill for Text fields to pre-fill information, and add URL links as hyperlinks within fields so signers can easily access relevant websites or resources directly from the document. To send an E-Signature request using a template, navigate to a Contact Record and select Send E-Signature Request.
You can then select the desired E-Signature as well as compose the email the recipient will receive.
Note: CC'd recipients in your E-Signature request emails will also receive detailed notifications, including the candidate name and all signing roles, when requests are sent and completed. You will also have the ability to resend eSignature requests by using the option to Resend when viewing your active eSignature requests:

Including eSignature in an Onboarding Checklist
You can also include an eSignature request as an onboarding requirement within an Onboarding Checklist.
To add eSignature as a checklist action, select the eSignature action type, set Assigned To as the Contact being onboarded, and choose the appropriate eSignature Template.
Note: To allow the employee to immediately access and complete the eSignature request through the portal once it is added to the checklist, enable the Automatically Create and Send eSignature option.
Tracking Your eSignature Request
You can easily monitor the status and progress of your eSignature requests through email notifications or directly from the associated Contact Record. Email notifications provide updates throughout the signing process, including when recipients view the request, complete their signature, the request is canceled, and when all parties have finished signing.
Request details are also available directly within the Contact Record through the logged Activity in the Activity Stream or by accessing the eSignature document from the Documents tab.
Viewing eSignature Requests on a Contact Record
After you send an eSignature request, you can access the request details directly from the Contact record through either the logged Activity or the associated eSignature document.
Activity Stream
When you send an eSignature request, the system automatically creates an activity log in the Contact's Activity Stream. Double-click the logged activity to open the attached eSignature document and view the current status and request details.
Documents Tab
You can also navigate to the Documents tab on the Contact Record and open the eSignature document to view the request status and track each signer's progress throughout the signing process.
Notifications
Throughout the signing process, email notifications keep all parties informed of the eSignature request's progress.
Signer Notifications
Signers will receive notifications when action is needed, including a link to access and complete the document.
Once all required parties have completed signing, the Contact will receive confirmation that the document has been fully signed. If an eSignature request is canceled, the Contact will also receive a notification informing them of the cancellation, and the signing link will no longer be available.
Sender Notifications
As the sender of the eSignature request, you will receive email notifications throughout the signing process to help you monitor progress and stay informed of important updates. Notifications will be sent when a recipient views the request, each signer completes their signature, the request is canceled, and when all parties have completed signing the document.
