Available on Business plans and higher.
Many Settings pages have an Export button next to the page title, so Administrators can export a list of what is configured in Crelate. You choose a Comma-Separated, Microsoft Excel 2016, or Microsoft Excel 2019+ file. Most pages export what you have chosen on the page, such as a list or a filter, and the Email Templates page always exports every template. The export panel works the same way on every Settings page that has the button.
Which Settings pages can I export?
You can export these Settings pages:
Page | Where to find it | What you can export |
Tags | Settings, then Customization, then Tags | Export exports the tags in one category. Export All exports the tags in every category, with the category in each row. See Managing, Creating, and Exporting Tags. |
Email Templates | Settings, then Email, then Email Templates | All of your Organization Email Templates. The filters in the columns do not apply. See Creating & Editing Email Templates. |
Privacy Requests | Settings, then Compliance, then Privacy Requests | The privacy requests in the Compliance Request Manager, including each request’s type and text. See GDPR Management. |
Users | Settings, then Security, then Users | The list of users in Manage Users. |
Manage Duplicates | Settings, then Data Quality, then Manage Duplicates | The Contacts that Crelate flagged as possible duplicates. See Managing Duplicates. |
How do I export a Settings page?
You open the page, add any filters you need, select Export, choose a file type, and then select Start Export.
Open the Settings page you want to export, such as Users or Email Templates.
Optional: Choose the list or filters you want. The Email Templates page does not apply its column filters to the export. See “How do filters affect my export?”
Select the Export button next to the page title. When you hover over it, it reads “Export this list to Excel or CSV format.” The Exporter panel opens.
Under What file type would you like to export to?, choose Comma-Separated, Microsoft Excel 2016, or Microsoft Excel 2019+. Comma-Separated is selected by default.
Select Start Export. The button is at the top of the panel and below the file types.
What are the file types?
The Exporter in Settings has one question: the file type.
File type | What you get |
Comma-Separated | A CSV file that opens in Excel and other spreadsheet and data tools. |
Microsoft Excel 2016 | An Excel file for Excel 2016. |
Microsoft Excel 2019+ | An Excel file for Excel 2019 and later. |
Unlike the Exporter for Contacts, Companies, and Opportunities, it does not ask which data or records to export, and it has no Format Options. For those exports, see Exporting Contacts, Companies, and Opportunities.
How do I export tags?
The Tags page has two export buttons next to the page title: Export and Export All.
Export: Exports the tags in one category. When you hover over it, it reads “Export this list to Excel or CSV format.”
Export All: Exports the tags in every category. When you hover over it, it reads “Export the tags in every category to Excel or CSV format.” Each row in the file shows the tag’s category. Tags that are in Tags (No Category) have a blank category.
Go to Settings, then Customization, then Tags.
To export one category, select the category in Configure Tag Categories, such as Portal Tags. Then select one of the tags in the list, and select Export.
To export every category, select Export All.
Choose a file type, and select Start Export.
For more on tags, see Managing, Creating, and Exporting Tags.
💡 Pro Tip: To review one category at a time, select Export All, and then filter or sort the Category column in your spreadsheet. Export All always includes every tag with its category, so it is the most reliable way to see the whole picture before a tag cleanup.
How do filters affect my export?
On most Settings pages, your export contains what you chose on the page, and it includes every matching record across all pages of the list. It is not limited to the rows you can see on screen. If you do not choose anything, the export includes everything in the list. The Email Templates page is the exception. Its export ignores the filters in the Name, Tags, and Type columns.
For example, choose the Billing license type on the Users page, and the export contains only Billing users, even when they fill several pages.
Page | What affects the export |
Users | The search box, the All License Types drop-down (Standard, Employee, Billing, or Other), and the Active and Disabled buttons. The export contains only the users that match all of them. |
Privacy Requests | The drop-down at the top of the page: New Requests, Completed Requests, Contacts With Consent, or Contacts Without Consent. |
Tags | The tag category you select, with Export. Export All ignores the category and exports every tag. |
Email Templates | Nothing. The export always includes every Organization Email Template, even when you use the filters in the Name, Tags, or Type columns. |
💡 Pro Tip: On the Users, Privacy Requests, and Tags pages, check your choices before you select Export. For Email Templates, export everything, and then filter the file in your spreadsheet.
How do I export active, disabled, or specific users?
You choose Active or Disabled on the Users page, optionally choose a license type, and then export. Each export contains only the users that match what you chose, so export active users and disabled users separately.
Go to Settings, then Security, then Users.
Select Active or Disabled to choose which users to include.
Optional: Open the All License Types drop-down, and choose Standard, Employee, Billing, or Other. All License Types is the default and includes every type.
Optional: Type a name or an email address in the search box. The list narrows to the matching users, and the export includes only those users.
Select Export, choose a file type, and then select Start Export.
The License Summary at the top of the page shows how many of your Standard and Employee licenses you have used.
💡 Pro Tip: To audit your licenses, export Active users, and then switch to Disabled and export again. You then have one file for each group. To check one license type, such as Employee, choose it in the drop-down before you export.
💡 Pro Tip: To export only a few users, search for them by name or email address before you select Export. The file then contains only the users in the list.
What does the Users export include?
The Users export has one row for each user, with these columns:
Column | What it shows |
Full Name | The user’s name. |
The user’s email address. | |
Employee Id | The user’s Employee Id, if there is one. |
Title | The user’s title, if there is one. |
Status | Whether the user is Active or Disabled. |
User Type | The user’s license type, such as Standard. |
Created On | The date and time the user was added. |
Updated On | The date and time the user was last changed. |
The License Type column on the Users page appears as User Type in the file. The Employee Id and Title columns are blank when a user does not have one.
Which Privacy Requests lists can I export?
You choose the list in the drop-down at the top of the Privacy Requests page, and then select Export. The export contains only the list you chose.
List | What it shows |
New Requests | Privacy requests that have not been completed. |
Completed Requests | Privacy requests that have been completed. |
Contacts With Consent | Contacts who have given consent. |
Contacts Without Consent | Contacts who have not given consent. |
💡 Pro Tip: To see who has not given consent, choose Contacts Without Consent and export. You then have a list to review.
What does the Privacy Requests export include?
The columns below are for the New Requests and Completed Requests lists. Each row is one request.
Column | What it shows |
Created On | The date and time the request was submitted. |
Email Address | The email address the person entered on the request. |
Contact | The Contact Record that the request is linked to. It can be blank. [Verify: when it is blank.] |
Request Type | The kind of request the person chose. |
Request Body | The text of the request. |
The Request Type is the option the person chose when they submitted a privacy inquiry from your Job Portal. They choose one of nine request types on the form: Get a copy of my data, Delete my data, Do not sell or share my data, Correct my data, Stop using my data for marketing, Withdraw my consent, Limit use of my sensitive data, Temporarily restrict processing, or Object to how my data is used. In the file, the Request Type shows a shorter name, such as Do Not Sell or Share.
You cannot filter the Privacy Requests page by request type before you export. To review one type, export the requests, and then filter the Request Type column in your spreadsheet.
The Contacts With Consent and Contacts Without Consent lists show Contacts instead of requests, so their exports have different columns.
💡 Pro Tip: To find every request of one kind, such as Delete my data, export the requests and filter the Request Type column in your spreadsheet. This gives you one list to work through.
Who can export from Settings?
Administrators export from Settings. Users who are not Administrators do not have access to the Settings areas. For tags, a user who is not an Administrator can export the tags on their records from a list view. See How to Use Tags. Some Settings pages, such as Privacy Requests, are marked Business in the Settings menu and are available on Business plans and higher.
Troubleshooting
Why do I not see the Export button on a Settings page?
Only Administrators have access to Settings, and some pages, such as Privacy Requests, are available on Business plans and higher. The button is next to the page title at the top of the page. Ask an Administrator to export for you.
Why does my export have fewer records than I expected?
The export includes only the records that match the filters on the page. Clear the filters and export again to get every record.
Why does my Users export not include everyone?
Each export contains only the users that match the page. Check three things: whether Active or Disabled is selected, whether a license type is chosen in the All License Types drop-down, and whether there is text in the search box. Clear the search box, choose All License Types, select the group you want, and export again.
Why are the Employee Id and Title columns blank?
They are blank when the user does not have an Employee Id or a title.
Why does my Tags export include tags from other categories?
Export is meant to export one category, so select a category, select one of its tags, and then select Export. If the file still has more than one category, use Export All and filter the Category column in your spreadsheet.
Why is the Category blank for some tags in my Export All file?
Tags that are in Tags (No Category) have a blank category in the export. This is expected.
Why does my Privacy Requests export only show some requests?
The export contains only the list you chose in the drop-down at the top of the Privacy Requests page, which shows New Requests by default. Choose Completed Requests for completed requests, and export again.
Why does my Privacy Requests export show Contacts instead of requests?
You chose Contacts With Consent or Contacts Without Consent in the drop-down. Those lists show Contacts, not requests. Choose New Requests or Completed Requests to export requests.
Why is the Contact column blank for a request?
The Contact column shows the Contact Record that the request is linked to. It is blank when no Contact is linked to the request.
Why is my Manage Duplicates export empty?
Manage Duplicates only stores flagged Contacts when Show duplicate records throughout Crelate is unchecked in Duplicate Detection. If the list is empty, the export is empty. See Managing Duplicates.
Why does my Email Templates export include templates I filtered out?
The Email Templates export ignores the filters in the Name, Tags, and Type columns, and always includes every Organization Email Template. Export the list, and then filter the file in your spreadsheet.
What to share if it still does not work: the Settings page, the filters you set, the file type, a screenshot of the page with the Export button, and any message you saw.
Key takeaway
Administrators can export the Settings pages for Tags, Email Templates, Privacy Requests, Users, and Manage Duplicates with the Export button next to the page title. Choose a Comma-Separated, Microsoft Excel 2016, or Microsoft Excel 2019+ file, and select Start Export. On most pages, the export contains what you have chosen on the page, across all pages of the list. On the Users page, choose Active or Disabled to export each group separately, use the All License Types drop-down to export one license type, or search by name or email address to export only certain users. On the Privacy Requests page, choose New Requests, Completed Requests, Contacts With Consent, or Contacts Without Consent in the drop-down before you export, and filter the Request Type column in your spreadsheet to review one type. On the Tags page, Export exports one category, and Export All exports every category with the category shown in each row. The Email Templates export always includes every Organization Email Template, and the filters in its columns do not apply, so filter the file in your spreadsheet.
