A guide for Administrative users to learn of upcoming subscription changes

About this Guide

This guide is designed to help Crelate System Administrators understand the potential user impact of an upcoming release of Crelate. The guide provides additional insights that Crelate System Administrators should be aware of. Crelate provides this guide ahead of scheduled releases to allow Crelate System Administrators time to prepare for and take advantage of new or changing system capabilities.

About Crelate Upgrades

All upgrades to Crelate are automatic, benefit all users and typically require no user action. However, not all system upgrades are on by default. System Administrators may need to opt-in or opt-out of some new functionality. We know change can be disruptive and we work hard to ensure System Administrators have the flexibility to control when new features are available to their users.

NEW – This is a new feature or functionality. It may need to be enabled and configured.

IMPROVED – This is a change to an existing feature.

CHANGED – This is an existing feature or behavior that has changed, and users need to be aware.

Feature Sunset/Deprecation

Job Portal v1 Sunset

Impact 

In the fall of 2020 Crelate launched our improved Job Portal. This updated portal offers easier installation, with better performance and greater flexibility. The legacy portal relies on an IFRAME, while the new portal is a JavaScript embeddable widget. For the past 4 years, we have maintained both portals to allow customers time to transition to the new portal. 

Today, we announce that the v1 Job Portal is now in Sunset Mode, meaning only critical security-related issues will be fixed going forward. No other improvements or updates will be made and the legacy portal is now scheduled to be removed. 

Early 2025, the Crelate Job Portal v1 will be deprecated entirely and disabled. We encourage all users to update their job portal integrations to use the new web portal widget as soon as practical. 

Clients adding the portal to their company page via iframe will need to reconfigure the page to use the Job Portal v2 widget. The widget script snippet can be found in Settings > (Portal) Widget. Customers are strongly encouraged to migrate as soon as practical.  

We understand this can be disruptive to your business, which is why we have supported both portals for 4 years and are now giving an additional full 9 months of notice of this requirement; on top of the years of running the two versions in parallel.

Public v1 and v2 API Sunset

Impact 

With the launch of Public API v3 in October 2023, we are announcing that Public API v1 and v2 have entered sunset mode, meaning only critical security and performance items will be addressed going forward. All Clients and Partners should be transitioning to using the Public API v3 for all new projects and move existing projects to the new API as soon as possible.

This deprecation is scheduled for Q2 of 2025.

The new API has many advantages and capabilities over the old APIs but does not yet support Application Management, however, we will be adding these capabilities soon. Customers who need these features may continue to use the legacy endpoints while they migrate the rest of their code to the new endpoints.

iPad App Sunset

Impact

In 2019, Apple introduced “Desktop Browsing” on iPads. This change brought significant improvements to the iPad’s ability to access web apps directly. Since 2019, we have maintained two code bases to support the legacy Crelate iPad App and a responsive, touch-enabled web application.

Following the Sept 6th Release, we are officially ending all support for the iPad app and it will be completely deprecated. Going forward, customers wishing to access Crelate may do so from their iPad by going to the standard app.crelate.com login page.

Existing iPad customers can start using this technique today. We have made small enhancements to the normal web app to behave even better on the iPad.

IMPORTANT: This announcement does NOT affect Crelate Connector for mobile phones.

Expenses Tab – NEW

Impact

Expenses have been moved to their own tab in the Employee Center and are no longer coupled with Timesheets.

Ensure that any reports that were based upon the Pay Period of Expenses are updated to utilize Transaction Date instead.

We've separated Expenses from Time Submission in the Employee Center. Now, expenses are standalone and can be submitted and approved independently of Time Cards. As a result, expenses will no longer be linked to a Time Submission Period (previously known as Pay Period). Instead, they will be based on the Transaction Date specified when the Expense is created.

Timekeeping Templates – NEW

Impact

Timekeeping Setup is no longer a global concept and has been transitioned to templates that can be applied to individual Opportunities.

Ensure that your global Timekeeping Setup has been appropriately migrated to a Timekeeping Template and that this Template is applied to all existing Temp Hire Opportunities

We’ve transitioned our existing Timekeeping Setup (including Submission Cadence, Start Date, Due Dates, etc.) from a single global configuration per Crelate organization to Timekeeping Templates. This change allows you to have different Timekeeping Setups for each Opportunity. To minimize any impact on customers already using Timekeeping, we've migrated your existing global setup into a Timekeeping Template and designated it as the Default Timekeeping Template. This default template will automatically prefill on all new Temp Hire Opportunities. Note: currently an employee can only be assigned one Timekeeping Candence at a time.

Billable and Payable Item Generation - CHANGED

Impact

Billable and Payable Items will be generated per Time Entry instead of per Time Card

Ensure that all Billable and Payable Items are being pulled into invoices and payroll runs and are displayed appropriately.

To enhance flexibility in Invoicing, we've updated Billable and Payable Item generation to create a Billable/Payable Item for each Time Entry rather than per Time Card. This change allows users to invoice and pay within a custom date range, whereas previously this could only be done for the entire Time Card.

Separated Time Submission Periods from Pay Periods- CHANGED

Impact

Fundamentally changed what Crelate currently considers a Pay Period to Time Submission Period and repurposed existing Pay Period concept.

  • Understand the difference between Time Submission and Pay Periods in order to know how to search, filter, and report on Deliver data in Crelate.

  • Update any reports that we’re based on Pay Periods to instead reference Time Submission Periods.

  • Update any custom grid views that we’re utilizing the Pay Period field to instead utilize the Time Submission Period field.

We've made a conceptual change to how Pay Periods are defined in Crelate. By fully separating Timekeeping from Payroll functionality, we've identified the need to track time ranges for each independently. Moving forward, what was previously known as “Pay Periods” will be renamed to Time Submission Periods. This refers to the range of time during which time is tracked, submitted, and approved. The term Pay Period will now specifically refer to the time range that a Payroll Run covers, and it will only be applied to Payable Items once they are included in a Payroll Run.

Timekeeping Settings Page Changes - CHANGED

Please note that Timekeeping Settings have been consolidated into a single Timekeeping Settings page, with most settings now housed on the Timekeeping Settings page.

We’ve streamlined the Timekeeping Setup by introducing templates, eliminating the need for global tracking of these settings. The Timekeeping Settings pages have been updated to support these templates, and we've merged the previous Global and Time Card Settings into a single page. The Approval Portal will continue to be a separate settings page for customized options.

To align with our new Deliver changes, we’ve made the following updates to Deliver grids, forms, and exports:

  • Billable/Payable Item Form: Added the 'Time Submission Period' and ‘Transaction Date’ to the form layout and available grid columns.

  • Billable Item Advanced Export:

    • Added 'Transaction Date,' 'Time Entry ID,' and 'Time Submission Period.'

    • Removed 'Pay Period Sheet' and 'Pay Period End On.'

  • Payable Item Advanced Export:

    • Added 'Time Submission Period' and 'Transaction Date.'

    • Removed 'Pay Period End On.'

  • Time Card Advanced Export:

    • Added 'User' and 'Time Submission Period.'

    • Introduced a 'Time Submission Period' filter.

    • Removed 'Pay Period Start/End On,' 'Pay Period Sheet Employee ID,' and 'Pay Period Filter.'

  • Expense Entry Advanced Export:

    • Added 'User.'

    • Removed 'Pay Period Start/End On.'

Deprecated Timekeeping Page in favor of a Time Sheets Page - CHANGED

The Timekeeping All Areas Grid/Page has been deprecated and has been replaced by a Time Sheets Grid/Page

  • Recreate any saved Find queries that you had on the Timekeeping Page on the Time Sheets Page.

With the separation of Time from Expenses, there is no longer a need to view them together. Going forward, Deliver users should use the Expenses page for all in-app Expense approvals and finalization, and either the Time Cards or Time Sheets page for managing Time-related approvals and finalization.

Renamed ‘Regular Hours’ Time Type Meaning Type to ‘Hourly’ - CHANGED

Impact

Names of Time Types will not change for existing customers, but the Regular Hours meaning Type will be changed from ‘Regular Hours’ to ‘Hourly’. Additionally, for Internal Time Recorders, the available Time Types will be filtered depending on the type of Worker (Salary Compensation Type workers will only see Time Type with a meaning of ‘Salary’)

With the introduction of Salary Time Types, the meaning ‘Regular Hours’ can be ambiguous and unclear. To remedy, we are renaming the ‘Regular Hours’ Meaning to ‘Hourly’. This should make it clear which Time Types are for hourly workers and which Time Types are for hourly workers.

Crelate Omni Hire:

The “Onboarding” area name has changed to “Checklists” – CHANGED

We’ve renamed the 'Onboarding' section of the app to 'Checklists.' This new name better reflects the inclusion of various checklist types, including Offboarding and other Checklists.

Coming Soon:

New Login Password Requirements

To improve the security of Clients accounts, we will be implementing stricter password requirements across all accounts by the end of 2025. This means that strong passwords will be mandatory, and basic or weak passwords will no longer be accepted. Additionally, to bolster account security even further, two-factor authentication (2FA) will be required for all organizations.  

To ensure a smooth transition and prepare for these changes, administrators can take the following steps: 

  • Navigate to Settings |Security |Advanced Security 

  • Mark the “Two Factor Authentication” and “Force Strong Password” options as “Required.
