How to Set up Time & Expense Types

Time & Expense Charge Types will fuel the rules and permissions that your time recorders will be able to follow when out on an assignment.

Starting in settings, navigate to the Deliver section and start building out how you want your time & expense to be captured.

Expense Types

There are two types of expenses that can be captured: Amount based and quantity based

  • Meaning: Crelate lists several default meanings for your differing expense entries such as Meals, Travel, Mileage and more

  • Type:

    • Amount Based: This means you expect employees to enter a total expense amount

    • Quantity Based: This means you expect them to enter an amount, and it will be calculated against a default rate that you set up. **Please Note** once you set the default rate, you cannot change it.

      • Example: Mileage rate is .56/mile and they enter 10 miles which would create an expense for $5.60

  • Required Expense Note: Employees with notes required will be unable to submit a time card at the end of a pay period without the addition of a note

  • Required Expense Receipt: Employees with receipts required will be unable to submit a time card at the end of a pay period without the addition of an uploaded receipt.

  • Billable to Customers: Customers looking to invoice for time should always list time as billable to customers.

  • Payable to Employee: Enabling this option will create a payable option for invoicing.

Time Types

Time Categories give you the ability to create different time codes that you'll need your employees to log time against. For instance, you may wish to have Standard Time, Overtime, PTO, etc.

  • Meaning: Crelate lists several default meanings for your differing time types.

  • General Note: Employees with General Note required will be unable to submit a time card at the end of a pay period without the addition of a note for the week.

  • Daily Note: Employees with Daily Note required will be unable to submit a time card at the end of a pay period without the addition of a note for any day they submit time.

  • Billable to Customers: Customers looking to invoice for time should always list time as billable to customers.

  • Payable to Employee: Enabling this option will create a payable option for invoicing.

When creating a Time Type, you're creating the ability for an employee to log time against that specific type. As an example, you may set up a scenario similar to the below where the candidate logs time on their Standard Working hours Charge Code & separately, on an Overtime Charge Code.
