Everything you need to know to start using Time Keeping

Enabling and leveraging Crelate's Time Keeping feature, as part of our Crelate Deliver module will allow customer the ability to have candidates track time that can later be invoiced. Enabling will naturally be the first step in the journey! If you haven't already, please review our Crelate Deliver - Master Guide to walk through the primary steps to get started.

To start using time keeping, navigate to Settings | Timekeeping Setup. On this page, you will specify the Time Zone in which your timekeeping should be interpreted in as well as create your first Timekeeping Template. This template will be automatically set as your Organization’s default Timekeeping Template, meaning all Temp Hire Opportunities that are created for companies without a specific Timekeeping Template will have their Timekeeping information prefilled based upon this template.

Each item here is very important to the way you want to use timekeeping for your company.

  • Time Zone – This is the time zone that your company is in. This time zone will affect things like due dates/times and notifications for Time Cards that are due or past due.

  • Template Name – The name that will be used as the unique identifier of this template.

  • Timekeeping Cadence – The intervals in which Time Cards will span and therefore the range of time in which logged time is required to be submitted, approved, and finalized.

  • Timekeeping Start Date – The day that Timekeeping will begin. This date plus the cadence field above will dictate the Time Submission Periods that Crelate will generate. Example - setting the cadence to weekly and the start date to Sept 1st will result in Time Submission Periods of 9/1 – 9/7, 9/8 – 9/14, etc.

  • Time Entry Format – The format in which you would like to log time. Options include Straight Time (lump sum amounts) or Punch-In/Punch-Out (clock in/out datetime pairs).

  • Time Cards Due On – The day that Time Cards are due relative to the end of the Time Submission Period.

  • Time Cards Due On Time – The time of day that Time Cards are due. Keep in mind that this setting uses the Timekeeping Time Zone setting above and that users outside of this Time Zone will have a time offset.

  • Approvals – Specifies whether Approvals are enabled/disabled. If approvals are disabled, submitted Time Cards and Expenses will go straight into an Approved status, whereas if Approvals are enabled, these items must be approved wither by a Time Approver set on the job or by an Org Admin.

  • Approvals Due On – Only required if Approvals are enabled. Specifies the day in which Approvals are due relative to the due date of the Time Cards.

  • Approvals Due On Time – The time of day that Approvals are due. Keep in mind that this setting uses the Timekeeping Time Zone setting above and that users outside of this Time Zone will have a time offset.
