How do I find opportunities, companies and contacts with Search?

Find opportunities by title, companies by state or Lost status, and contacts by email activity or a missing email address using Search.

Before you start: choose what to search through

To find one type of record with Search, check only that type under Search through... and add filters with Advanced....

Search through... lists your record types: Contacts, Companies and Opportunities. This article uses those default names. If your organization renamed them, for example Opportunities to Jobs, use your own names.

  1. Open Search.

  2. Under Search through..., un-check every record type you do not want.

  3. Select Advanced..., then Add Filter. You can type to find a filter by name.

A filter only appears in the Add Filter menu when every record type you checked has that field. If a filter you expect is missing, un-check the other record types.


How do I find opportunities with a word in the title?

To find opportunities whose title contains a word, search only opportunities and filter on Name.

  1. Under Search through..., check only Opportunities.

  2. Select Advanced..., then Add Filter, and choose Name.

  3. Type the word. The default match is Contains. To change it, select the filter's cogwheel and choose Starts With or Exact Match.

  4. Select GO.


How do I list companies in a state?

To list companies in a state, search only companies and use the Location filter set to State.

  1. Under Search through..., check only Companies.

  2. Select Advanced..., then Add Filter > Location.

  3. Change 25 miles of to State.

  4. Enter the two-letter state code, for example CA. To include several states, separate the codes with commas, for example CA, NY.

  5. Select GO.


How do I find contacts by email activity date?

To find contacts you emailed since a date, use the Past Activity filter on contacts.

  1. Under Search through..., check only Contacts.

  2. Select Advanced..., then Add Filter > Past Activity.

  3. Check Emails.

  4. Set Since to the start date.

  5. To limit the results to emails you sent, select the filter's cogwheel and choose Only Activities Owned by Me.

  6. Select GO.

Past Activity has a start date only. It has no end date, so you cannot stop at a date in the past.

To find contacts you have not been in touch with since a date, use a date field filter instead. See Last Updated, Last Activity, Last Engagement, Last Reach Out, and Other Date Fields.


How do I find companies marked Lost?

To find companies marked Lost, search only companies. Which filter to use depends on where Lost is stored.

  • Lost is a lead or opportunity stage. Add Company Job's Status and choose the Lost stage. This finds companies that have at least one lead or opportunity at that stage.

  • Lost is a company record status your organization created. Add Company Record Status and choose that status.

Under Search through..., check only Companies for either route. These two filters appear only then.


How do I find contacts with or without an email address?

To find contacts that have, or are missing, an email address, add the contact Email filter and use its cogwheel.

  1. Under Search through..., check only Contacts.

  2. Select Advanced..., then Add Filter and choose Email.

  3. Select the filter's cogwheel.

  4. Choose Has no data in this field to find contacts with no email address. Choose Has any data in this field to find contacts that have one.

  5. Select GO.
