Monitoring Your AI Credit Usage

Learn how to monitor and manage AI credit usage across your organization.

AI credits are shared across your entire organization, making it important to understand how credits are being used throughout the month. By monitoring usage and setting appropriate permissions for your team, you can better manage your organization's available credits and identify how your users are engaging with Crelate's AI-powered tools.

This guide will walk you through ways to:

  • Limit AI credit usage for specific users when needed

  • Track usage across your organization

  • Monitor records created through Crelate Discovery and the Crelate Chrome AI Talent Assistant

  • Create Reports dashboards to help you better understand your team's AI activity


Limiting Credit Usage for Enrichment

As an Admin, you can control which users have access to Contact Data Enrichment through your User Role Settings.

Restricting this permission prevents users with a specific role from using the Enrich option within the Crelate Chrome AI Talent Assistant. This can be helpful when you want to better manage AI credit usage across your organization while users are adding or updating records through the extension.

To locate this setting:

  1. Navigate to Security → User Roles.

  2. Select the User Role you would like to manage.

  3. Expand the Contacts section.

  4. Locate Contact Data Enrichment.

  5. Change the setting from Allowed to No for any roles that should not have access to enrichment.


Tracking AI Credit Usage with Reports

In addition to managing access to enrichment, you can use Reports to build dashboards that help you monitor AI-related activity across your organization.

By tracking records created through Crelate Discovery and the Crelate Chrome AI Talent Assistant, you can gain greater visibility into how your team is using these tools throughout the month.

You can create dashboards for Contacts, Companies, and Opportunities to monitor activity overall and identify usage by individual users.


Monitoring Contacts

To track Contacts added through Crelate Discovery or the Crelate Chrome AI Talent Assistant, you can create a Contact dashboard using single-value charts.

These charts can help you quickly monitor:

  • The total number of Contacts added

  • Contacts added through Crelate Discovery

  • Contacts added through the Crelate Chrome AI Talent Assistant

  • Activity broken down by individual user

This provides a clearer view of how your team is engaging with AI-powered tools and where AI credit usage is occurring.

Tracking Contacts Added Through Discovery

For charts tracking Contacts added through Crelate Discovery, filter the report using:

  • Source: Crelate Discovery Agent

  • Created On Date: Your desired reporting timeframe, such as This Month

Using the Created On Date filter allows you to focus specifically on activity occurring during the current month or another selected period.

Tracking Contacts Added Through the AI Talent Assistant

For Contacts added through the Crelate Chrome AI Talent Assistant, use a similar report configuration, but update the Source filter to:

  • Source: LinkedIn

  • Created On Date: Your desired reporting timeframe, such as This Month


Monitoring Companies

You can create a similar dashboard for Companies to track records added through Crelate Discovery and the Crelate Chrome AI Talent Assistant.

Your Company dashboard can include charts showing:

  • The total number of Companies added

  • Companies added through Crelate Discovery

  • Companies added through the AI Talent Assistant

  • Companies added by each individual user

This allows you to monitor activity across your team and better understand how AI-powered tools are being used throughout your organization.

Filtering Company Reports

The filtering process for Company reports is similar to the process used for Contacts. However, you will use the Company Source field when configuring your charts.

For Companies added through:

  • Crelate Discovery: Filter Company Source by Crelate Discovery Agent

  • Crelate Chrome AI Talent Assistant: Filter Company Source by LinkedIn


Monitoring Opportunities

Tracking Opportunities added through the Crelate Chrome AI Talent Assistant requires a slightly different approach.

Unlike Contacts and Companies, Opportunity Reports do not currently include an available Source filter. However, there are two ways you can create your own method for identifying and tracking Opportunities added through the extension:

  1. Use a Tag

  2. Create a custom Source field

Both options allow you to filter your Opportunity Reports and monitor activity associated with Opportunities created through the Crelate Chrome AI Talent Assistant.

Option 1: Using a Tag

One way to track Opportunities added through the extension is to create a Tag specifically for those records.

For example, you could create a Tag called: Chrome Extension

When adding an Opportunity through the Find In Selected Text feature in the Crelate Chrome AI Talent Assistant, apply this Tag to the new Opportunity record.

Once the Tag is consistently applied, you can filter your Opportunity Reports to display only Opportunities with the Chrome Extension Tag.

This makes it easier to monitor the overall activity associated with Opportunities created through the extension and break that activity down across members of your team.

Option 2: Creating a Custom Source Field

Alternatively, you can create a Custom Field to track the source of your Opportunity records.

Rather than using a Tag, this approach allows users to select the Opportunity's source directly from a dedicated Source field.

Before creating the Custom Field, you may want to first create a Custom Picklist containing the available Opportunity Sources. Using a Picklist helps ensure users select from consistent, predefined options when identifying the source of an Opportunity.

Creating the Source Field

Once your Custom Picklist has been created, you can add the new Source field by navigating to: Settings → Core Records → Jobs & Opportunities

From there:

  1. Select the plus (+) icon within the Custom Fields section.

  2. Create your new Source field using the Custom Picklist.

  3. Add the field to your Opportunity Forms so it is available when creating and editing Opportunity records.

Require Users to Select a Source

You can also configure the Source field as Required.

Making the field required ensures users select a source when creating Opportunities, helping maintain consistent data and making your reporting more reliable.

Using the Source Field in the AI Talent Assistant

Once the Source field has been added to your Opportunity Forms, it will also be available when creating Opportunities through the Crelate Chrome AI Talent Assistant.

Users can select the appropriate value from the Custom Picklist when adding an Opportunity. For example, you could create and select: Chrome Extension

This provides a consistent way to identify Opportunities that were created through the extension.

As your team continues using the Source field, you can create an Opportunity dashboard in Reports based on the value you selected to represent Opportunities added through the extension.

Filtering Your Opportunity Reports

When configuring charts for your Opportunity dashboard, filter the report using your new Source field.

For example:

  • Source: Chrome Extension

  • Created On Date: Your desired reporting timeframe, such as This Month

You can then use these charts to monitor Opportunities created through the Crelate Chrome AI Talent Assistant and better understand usage across your organization.


Keep Your AI Usage Visible

Regularly monitoring activity through Reports can help you better understand how your organization is using Crelate's AI-powered tools throughout the month.

By combining appropriate User Role permissions with customized reporting for Contacts, Companies, and Opportunities, you can create greater visibility into your team's activity and make more informed decisions about how AI credits are being used across your organization.
