Reporting - Quick Filters

We have heard from many of our customers that they need a way to easily switch between data for different users within the Reports dashboard. Often, this has meant creating multiple report pages for each recruiter. With our new Quick Filter tiles in Reports, you can achieve the same result without the hassle of managing numerous report pages.

Why You’ll Love It: Quick-Filter Tiles allow you to quickly toggle Report pages based on users and dates, making it easier than ever to access the data you need.

To utilize Quick Filters in Reports, you will need to select the option to Configure the Report Page. Within this section, you will now see the option for Quick Filters.

When selecting Quick Filters, you will see two options to filter by using these Quick Filters. The first option is to show quick-filter tiles for Users and the other option is to show quick-filter tiles for Date.

Quick Filters by User

You can select specific users to include on the page for the quick-filters and also select the field to filter the charts by for these users. You can also choose to allow the selection of multiple users and to automatically select the current user for the quick-filter tiles.

For the fields available to filter the charts by, you will have the options for Primary Owner, Created By, Owners, and Updated By.

When selecting the option to automatically select the current user, you will also see the option to lock user filters for non-administrators. When this option is enabled the quick-filter bar will be locked to the current user. Each user will only see their own data and will not be able to select a different user. Users will not be able to change the quick-filter configuration. However, Administrators will still be able to select different users.

Note: This does not entirely prevent users from viewing data owned by other users. Users may still be able to construct their own charts and reports that are not filtered by user, or may be able to access that data outside of Reports.

Once your configuration is set, you will see the quick-filter tiles populate on the Report page for each user selected to appear.

Quick Filters For Date

When selecting the option to add the quick-filters by date, you can select date periods and select a specific field to filter the charts by.

You will have several date periods to choose from, including, This Week, This Month, This Year, This Quarter, etc. You can select multiple date periods to appear as quick-filter tiles on the page.

For the fields available to filter by for the dates, you will have the options for When, Completed On, Created On, Due Date, and Updated On.

Once your configuration is set, you will see the quick-filter tiles populate on the Report page for each date period selected to appear.

When selections are made for both quick-filter options for users and for date periods, you will see the quick-filter tiles for users appear on the left of the page and the quick-filter tiles for date periods appear on the right of the page.

You can also use these different quick-filters simultaneously, in which, for example, you could filter by a specific user for This Month, or any other date period available to select.

These quick-filters will help save time when creating reports and allow you to easily toggle between dates and users for a quick view of the data you need.

Configuring Your KPI Tracker Report for Accurate Totals and Data Exclusion

The KPI Tracker report in Crelate is a powerful tool for tracking recruiter performance and placement metrics. However, ensuring the report displays accurate totals and excludes irrelevant data requires proper configuration of filters and settings. This section provides an overview of common issues and best practices for configuring your KPI Tracker report.

Common Issues and Resolutions

1. Incorrect Totals for "Total # of Placements" and "Total Value of Placements"

If your KPI Tracker report is not showing the correct totals for these metrics, ensure the following configuration:

  • Set the report to count by placement records.

  • Align the quick filters as follows:

    • Placement filter: Recruiter

    • Date quick filter: Start Date

This setup ensures that the "Total # of Placements" counts each placement record attributed to the selected recruiter and that the values aggregate based on each placement’s Start Date rather than when the placement was logged.

2. Future-Dated Placements Appearing in Reports

Future-dated placements may appear in your KPI report if the Date quick filter is not set correctly. To exclude these placements:

  • Set the Date quick filter to Start Date for the relevant period.

  • Placements with Start Dates outside your selected range (e.g., in a future year) will be excluded.

3. Report Reverting to Default "When" Logic

If your KPI report switches back to using "When" instead of "Start Date," it may be due to the quick filters not being actively selected. To maintain the desired configuration:

  • After setting the report’s Date quick filter to Start Date, ensure you actively select the Date quick filter tile (and the User quick filter if applicable).

  • If the Date quick filter isn’t selected, the report will default to displaying data over time using the "When" logic.

Best Practices for Using Filters

To ensure your KPI Tracker report consistently displays accurate and relevant data:

  1. Always verify your quick filters. Double-check that the Date quick filter is set to Start Date and that the Placement filter aligns with your reporting needs (e.g., by Recruiter).

  2. Regularly review your filter settings. Periodically confirm that your filters have not reverted to default settings.

  3. Exclude irrelevant data. Use the Date quick filter to exclude placements outside your desired reporting range, such as future-dated placements.

Troubleshooting Tips

  • If totals or data appear incorrect, revisit your quick filter settings and ensure they are actively selected.

  • For persistent issues, consider resetting your filters and reapplying the desired configuration.

By following these guidelines, you can configure your KPI Tracker report to provide accurate and actionable insights into recruiter performance and placement metrics.
