BETA - How to Set Up Confidential Fields with Encryption or Masking

This article explains how to make fields encrypted or masked to protect sensitive information in your system.

By following these steps, you can ensure that certain text fields are secured either by encryption or masking, depending on your preferences. Encryption ensures data is secure and inaccessible, while masking allows only partial visibility of sensitive information.

Steps to Configure Confidential Fields (Encryption or Masking)

Navigate to Settings:

  • From your dashboard, click on the Settings icon (gear) located in the bottom-left corner.

  • In the Settings menu, select Basic Setup, then go to Core Records.

  • Under Core Records, select Contacts. This section allows you to customize fields for your contacts.

Locate the Custom Fields Section:

  • Scroll to the bottom of the Contacts section, where you'll find the Custom Fields section.

Add a New Field:

  • To add a new field, click the green plus sign (+). This will allow you to create a new custom field.

  • Choose Text as the field type.

Pro-tip: Encryption and masking options are only available for text fields.

Open Advanced Options:

  • Once you’ve selected the Text field type, click on the Advanced button to expand the options.

Choose Encryption or Masking:

  • You will now see options for Encryption and Masking:

  • Encryption: When selected, the value in this field will be encrypted for security. The encrypted data will not appear in search results, find functions, portals, or external tools.

  • Masking: This option allows the value to be partially masked when viewed. You can choose one of the following mask types:

  • Show all: No masking is applied, and the full value is visible.

  • Show last four: Only the last 4 characters will be visible, and the rest will be masked (e.g., ***1234).

  • Show none: The entire field will be masked as ***** for full confidentiality.

After selecting your preferred encryption or masking option, click OK to save the new field.

By following these steps, you will be able to configure confidential fields that ensure the security and privacy of sensitive information.
